Background

Healiom is an AI-driven healthcare logistics platform designed to enhance medical capacity and improve efficiency in healthcare systems.

I was tasked with designing a Zoom-based app that helps healthcare providers generate patient encounter notes (SOAP notes) more efficiently during virtual appointments. With AI at the core of the product, the goal was to streamline medical documentation and reduce friction.

I began as a UX design intern at Healiom and later continued as a contracted designer. I collaborated closely with the project manager, CTO, and in house physician to bring the Zoom app to life.

In healthcare, patient encounter documentation is critical but also tedious. For every patient encounter, providers must complete SOAP notes (Subjective, Objective, Assessment, Plan) to ensure proper patient care, provider payment, and malpractice protection.

But existing platforms make this process frustrating. With the pressure high volumes and limited time, poorly designed SOAP note software often create unnecessary headache for physicians.

In healthcare, patient encounter documentation is critical but also tedious. For every patient encounter, providers must complete SOAP notes (Subjective, Objective, Assessment, Plan) to ensure proper patient care, provider payment, and malpractice protection.

But existing platforms make this process frustrating. With the pressure high volumes and limited time, poorly designed SOAP note software often create unnecessary headache for physicians.

To understand the problem that I need to solve, I studied the platforms already in place.


EHR systems like Epic, Cerner, and Athenahealth are the industry standard, but they weren’t designed for speed or simplicity.

Exploring these platforms (like the one above) I discovered many issues that were also raised by the American Medical Association.

  • Visually overwhelming interface.

  • Tedious, multi-click inputs

  • Buried/difficult to locate features.

  • Lack of or unclear alerts.

These issue slow down and impede workflows, especially in high-stress, high-volume medical environments.

Testing the experience

I asked participants to complete tasks with an interactive prototype. For example:

  • “Accept the generated summary and edit it.”

  • “Delete the AI suggestion and write your own.”

Problem 1:

Wasted space = more scrolling

Original layout stacked input boxes and AI suggestions vertically, increasing vertical scroll.

Solution:

Combined input and suggestions into a single component. Users can accept or delete suggestions upon hover.

Problem 2:

Trusting the AI

A user suggested that some may inherently distrust AI-generated results. They asked how we can make the AI appear to be "thinking" more to generate results that seem more reliable.

Solution:

To instill more trust in the generated results, the summary loading is broken up into steps, showing the process the AI goes through in generating a summary, creating a more trustworthy experience for the user.

Working on a startup project with a team of just 4 means that each person contribution is crucial to the project's success. Clear and open communication allows progress to move along and be tracked effectively.

At points during the project, my initial ideas did not always work out as expected, forcing me to go back to the drawing board. Quickly sketching out more frames helped me generate more ideas and view ideas from different perspectives.
